Main Responsibilities

This professional drafts a company's communication media. An Executive Assistant ensures that relevant information from each department of a company is passed on to management. Sometimes, he or she is required to manage an order, a customer invoice or the company's sales department. In some companies, they are even responsible for payroll, holidays and organising staff medical check-ups.

An Executive Assistant is responsible for organising appointments and administration meetings. He or she also manages the diary and daily schedule of an Accounting Manager.

An Assistant Manager welcomes customers and visitors to a company. They manage and provide all relevant information about the company's products and services. If necessary, he or she arranges for a customer to meet with the company manager.

An Executive Assistant is responsible for receiving, sorting and sending a company's administrative mail. They also manage the filing and archiving of the director's important files. They are often required to monitor tender procedures.

An Executive Assistant may work for several managers in a company. Sometimes, they may even be responsible for managing a specific event, such as the organisation of trade fairs or seminars.

  • Proficiency in IT tools: the Executive Assistant position requires proficiency in office automation (Word, Excel, etc.).
  • In-depth knowledge ofadministrative management: this skill is essential for managing all company documents.
  • Knowledge of writing standards and note-taking techniques: the Executive Assistant is required to draft administrative correspondence. The job requires the ability to summarise information and present it to the Director.
  • Ability to file and archive customer and manager files correctly: the Executive Assistant is familiar with all scanning techniques. They must be able to find an invoice or a customer order form quickly.
  • Fluency in a foreign language: a good level of English is necessary for an Executive Assistant position. An ability to understand and speak other foreign languages could be an asset for a candidate, depending on the company's activity and location.
